Some tips to help you organize your reunion:
Establish a family reunion organizing committee made up of folks you know you can count on to assist with the details. There should be a designated leader for this committee (probably you). You may need to break down the duties into sub-committees and you’ll want to choose those on whom you can depend. Remember the Roswell CVB will be a part of your organizing team.

You will need to decide:

  • When will you hold the reunion?
  • Who should be invited and how will they be invited?
  • Where will you hold the reunion? Answer: Roswell, Georgia
  • Will the reunion last a few hours, a day, a weekend, or more?
  • What types of tours, events, or activities will your family enjoy?
  • What extras would you like to offer (family T-shirts, activities for children, special awards, certificates, recognitions, etc.)?

You should notify your family of the reunion, at least 6 months ahead of time but preferably 12 months ahead, so they can save the date on their calendars. A postcard is sufficient for this correspondence (or e-mail if your entire family is technology friendly). Later you can follow-up with an invitation that gives more details.

Some families find it fun to create on-going communications about the reunion either by e-mail or written correspondence. This also helps to get everyone on board in spreading the word and helping you find addresses you might not have. This flow of information is vital to helping you create excitement and generate attendance. Some websites offer free family reunion postings and you’ll want to take advantage of them to help spread the word and keep your family informed.

When planning your budget, be sure to consider every member of your family and try to keep it in a range everyone can afford. From picnics to simple fare like hot dogs and hamburgers, southern barbecue, or an elegantly catered meal, there are many options and you should try to choose the one that best suits your family’s needs. Will you want to have family reunion T-shirts? If so, be sure to check with the supplier and figure the cost of the shirts into your overall reunion fees. The CVB will be happy to share names of some T-shirt suppliers with you, should you need them. Don’t forget the children. You might want to figure in some special activities for the little ones or create some family reunion coloring projects, games, etc. for them to enjoy. Keep in mind the senior members of the family. You’ll want to ensure their needs are met and that you have taken their comfort into consideration.

If you are using an events facility or hotel banquet room, you will find the prices vary considerably. Allow time for checking them out thoroughly. The Roswell CVB can assist you with gathering bids and arranging site inspections. Of course, Roswell has wonderful picnic sites with restroom facilities, grills, plenty of parking and some with covered areas in case of rain.

You will need lodging for your out-of-town guests. Again, the Roswell CVB will help you in gathering bids and getting the best price available. There’s a perfect location for you in Roswell. The CVB will also be happy to arrange for site inspections of the lodging facilities, if you wish.
